For example, some of the most common questions requested by Megaventory users are: ‘‘How do I update a client in my email marketing app after it’s been created in Megaventory?’’ or ‘‘How can I receive an email notification after the new invoice has been created in Megaventory?’’. With Zapier you can include these workflows really easily – and with no development work!
Connecting inventory management with your email marketing
Let’s have an example with MailChimp to illustrate this scenario: Imagine you have just added a new client to Megaventory account, so now you would like to create that contact in your MailChimp counterpart.
In Zapier’s language, an event that starts an automated task between the two apps is called ‘‘Trigger’’. In this case, Megaventory is a starting point; therefore, in Zapier you need to pick ‘‘New Client’’ as your trigger. Following that, choose ‘‘Add/Update Subscriber’’ Action – an event that finishes the task.
Now it’s time to create a Zap – an automated task consisting of a Trigger and Action being run repeatedly between two online apps (in this case – between Megaventory and MailChimp).
On the Trigger end, you need to define the Event that will start the Zap (in this case: ‘‘New Client’’).
As for Action, define the resulting Event of the Zap (in this case: ‘‘Add/Update Subscriber’’ in MailChimp).
Keep in mind that Zapier allows you to test your Trigger. Your recent customer will be found in your Megaventory account so you can confirm that there is a right connection between Megaventory and Zapier.
Communicating your order management within the company
You can create hundreds of different Zaps depending on your enterprise needs and the combinations available. As another example, you can receive a notification to your Gmail account after you make a new invoice or send out the shipment in the Megaventory platform.
What is more, even if a colleague generates a sales order in Megaventory, you still will be notified. You can do this by inserting those email addresses in the Action field for the individuals who are entitled to get these notifications.
The Trigger here will be the updating of a sales order (i.e. to include an invoice).
The Action will be the simple creation of an email.
Multiple integration options
Using Zapier you can create any document in Megaventory and ensure that it is sent to your desired accounting, CRM or other solution. Essentially, the apps that Megaventory does not natively connect with (such as Zoho Books, HubSpot, Xero, FreeAgent, Agile CRM, etc.) can be that way integrated with our app
On the other hand, the opposite scenario could be possible, meaning that a task coming from another app becomes the Trigger (i.e. the Zap’s starting point). So now the Action is needed in Megaventory account. To illustrate, if you add a new contact to your MailChimp, you can have it updated in the Megaventory application.
Implementation of deep integration logic
There is another great advantage we have offered in Zapier – we now have implemented ‘‘Searches’’! This feature provides lots of flexibility for Megaventory users allowing them to create more sophisticated Zaps and improve inventory management.
For example, you can update a new client that is already added in Megaventory following a change made on that client in MailChimp. Let’s say both the name and the email fields of a client are available in MailChimp while in Megaventory only the name field is accessible. Then, you will need to add a Trigger of ‘‘New or Updated Subscriber’’ in Mailchimp while the task to ‘‘Insert or Update a Client’’ in Megaventory becomes the Action.
Since the customer’s name to update in Megaventory is unknown, you need to include an additional search step ‘‘Find Client by Name’’ between the Trigger and the Action.
The Searches multiply the potential of the Megaventor Zapier integration allowing for many more capabilities to be explored!
